All You Need to Know About Form W-9

US Being self-employed has its pros and cons. On one hand, you can choose your own work schedule and take back control of your free time. Still, that doesn’t mean you don’t have any obligations. It is now your sole responsibility to report your earnings and submit all required tax documents. That’s why it’s important to keep your paperwork organized while being aware of tax rules and deadlines imposed by the IRS.

What is the Purpose of Form W-9?

Typically, a W-9 is used when a company or business receives services from a freelance contractor. This is why the U.S. In the U.S., every employer is required to provide a Form W-9 to every self-employed worker i.e. independent contractor, LLC contractor, vendor, freelancer or invited consultant. The contractor, in turn, is required to fill out and submit a W-9 and send it back to the employer who is obligated to keep the form for several years. Technically, the W-9 serves as confirmation that a newly hired contractor is responsible for paying his or her own income tax and covering Medicare and Social Security.

As noted above, the form does not need to be sent to the Internal Revenue Service. Instead, it is sent to your employer or the human resources department of the company you work for. The information provided on the W-9 is used by the employer to fill out another tax document known as Form 1099. Next, it enables the IRS to reconcile independent contractors’ income with their annual income tax using a W-9.

The form contains all the necessary details about a self-employed individual, i.e. his name, business name (if applicable), address, Social Security number (or employer identification number) followed by a signature and document completion date . By signing the completed Form W-9, you certify that all identifying information on the form is accurate and that you are exempt from backup withholding.

The W-9 is usually updated once a year. However, in some cases, an unscheduled form review may also take place at the behest of the employer. For example, your W-9 may be reviewed when your contact information (ie name, business name, address) or tax ID number changes and needs to be updated.

Who Needs to Fill Out a W-9?

Typically, someone is considered a candidate for a W-9 if he has been hired by a company or business to work on a freelance basis or short-term project. Another condition is that to fall under the “W-9 category,” your annual income must be more than $600. Also, in some cases, a business or individual may ask you to fill out a W-9 to report property transactions, loan cancellations, mortgage interest payments or acquisitions of secured property.

If you provide professional services to more than one company or business, you may need to fill out multiple forms. It is also important to check your status with the company or employer you are working for and ensure that you are classified as a freelancer, not a full-time employee. Otherwise, the company may unexpectedly send you a W-4 instead of a W-9.

When am I exempt from Filling Out a W-9?

Freelance workers should be aware of cases when filling out a W-9 isn’t a good idea. For example, you may receive a W-9 from an unexpected source and it is important to know what to do in this situation. First, you must make sure that any person or business asking you to complete a W-9 has a reasonable reason for it.

It is a well-known fact that some monetary institutions (i.e. banks) use the W-9 every time they report dividends at the end of the year.
